1. Wie zijn wij?

Health Cockpit is een praktijkmanagement-platform voor therapeuten en gezondheidsondernemers, ontwikkeld door Visualized BV.

Er is geen functionaris voor gegevensbescherming (DPO) aangesteld. Voor alle vragen over privacy kun je terecht op bovenstaand e-mailadres.

2. Onze rol: verwerkingsverantwoordelijke of verwerker?

Health Cockpit treedt op in twee rollen:

Verwerkingsverantwoordelijke voor de gegevens van therapeuten (onze klanten): accountgegevens, facturatie, communicatie.
Verwerker voor de patientgegevens die therapeuten in het platform invoeren. De therapeut is zelf verwerkingsverantwoordelijke voor de gegevens van zijn of haar patienten en sluit hiervoor een verwerkersovereenkomst met Health Cockpit.

3. Welke gegevens verwerken wij?

3.1 Therapeuten (gebruikers van het platform)

Naam, e-mailadres, telefoonnummer
Praktijkgegevens (naam, adres, ondernemingsnummer)
Google account-gegevens (bij koppeling van agenda, e-mail of formulieren)
Facturatiegegevens en betalingsgegevens

3.2 Patienten (ingevoerd door therapeuten)

Naam, geboortedatum, contactgegevens
Gezondheidsgegevens: klachten, consultverslagen, interventies, labuitslagen, DNA-analyse
Communicatiehistoriek (e-mails)
Vragenlijstresultaten

Gezondheidsgegevens zijn bijzondere persoonsgegevens in de zin van artikel 9 GDPR. De verwerking ervan is toegestaan op grond van de uitdrukkelijke toestemming van de patient (art. 9.2.a) en/of de noodzaak voor doeleinden van gezondheidszorg (art. 9.2.h).

4. Waarom verwerken wij deze gegevens?

5. Google API-integraties

Health Cockpit biedt optionele koppelingen met Google-diensten. Je kiest zelf welke je activeert. Wij vragen enkel de strikt noodzakelijke toegangsrechten:

Health Cockpit's gebruik van informatie ontvangen via Google API's voldoet aan het Google API Services User Data Policy, inclusief de Limited Use requirements. Dit betekent concreet:

Google-data wordt uitsluitend gebruikt voor de hierboven beschreven functies binnen Health Cockpit.
Google-data wordt niet verkocht, niet doorgestuurd naar adverteerders, databrokers of andere derde partijen.
Menselijke toegang tot Google-data is beperkt tot wat nodig is voor technische ondersteuning (op jouw verzoek), beveiligingsonderzoek, of wettelijke verplichtingen.

Je kunt de Google-koppeling op elk moment intrekken via de instellingen in Health Cockpit of via je Google Account.

6. Met wie delen wij gegevens?

Wij delen persoonsgegevens alleen met de volgende partijen, uitsluitend voor zover noodzakelijk voor de hierboven beschreven doeleinden:

Microsoft Azure (hosting, dataopslag en AI-diensten via Azure OpenAI, regio West-Europa)
Microsoft Dataverse (database, regio West-Europa)
Google (alleen als je zelf de koppeling activeert)
Stripe (betalingsverwerking, EU-infrastructuur)
Anthropic (AI-functies voor klantenondersteuning)

Wij verkopen nooit persoonsgegevens aan derden en gebruiken ze niet voor advertentiedoeleinden.

7. Doorgifte buiten de EU

Alle kerngegevens worden opgeslagen binnen de Europese Unie (Microsoft Azure, regio West-Europa).

Bij gebruik van de volgende diensten kan gegevensoverdracht naar de Verenigde Staten plaatsvinden:

Google (bij activatie van de koppeling) - beschermd door het EU-US Data Privacy Framework
Anthropic (AI-klantenondersteuning) - op basis van Standard Contractual Clauses (SCC's)

8. Hoe lang bewaren wij gegevens?

9. Geautomatiseerde besluitvorming en AI

Health Cockpit maakt gebruik van AI (kunstmatige intelligentie) voor de volgende functies:

Samenvattingen van consultverslagen
Suggesties voor interventies op basis van klachten en labuitslagen
Klantenondersteuning via de support chat

Deze AI-functies zijn ondersteunend: ze genereren suggesties die altijd door de therapeut worden beoordeeld voordat ze worden toegepast. Er vindt geen geautomatiseerde besluitvorming plaats in de zin van artikel 22 GDPR die rechtsgevolgen heeft voor patienten of therapeuten.

10. Jouw rechten

Onder de GDPR (General Data Protection Regulation, in het Nederlands: Algemene Verordening Gegevensbescherming) heb je de volgende rechten:

Inzage (art. 15) - opvragen welke gegevens wij van je verwerken
Correctie (art. 16) - onjuiste gegevens laten aanpassen
Verwijdering (art. 17) - je gegevens laten wissen ("recht om vergeten te worden")
Beperking (art. 18) - de verwerking tijdelijk stopzetten
Overdraagbaarheid (art. 20) - je gegevens in een leesbaar formaat ontvangen
Bezwaar (art. 21) - bezwaar maken tegen verwerking op basis van gerechtvaardigd belang
Toestemming intrekken (art. 7.3) - voor verwerkingen op basis van toestemming, op elk moment en zonder opgave van reden

Je kunt ook een klacht indienen bij de Gegevensbeschermingsautoriteit (GBA), Drukpersstraat 35, 1000 Brussel.

11. Is het verstrekken van gegevens verplicht?

Het verstrekken van je naam, e-mailadres en praktijkgegevens is noodzakelijk om een account aan te maken en het platform te gebruiken. Zonder deze gegevens kunnen wij de dienst niet leveren. Het koppelen van Google-diensten is volledig optioneel.

12. Beveiliging

Wij nemen passende technische en organisatorische maatregelen om je gegevens te beschermen:

Versleutelde verbindingen (HTTPS/TLS)
Toegangscontrole via Azure Active Directory
Versleutelde opslag van gevoelige gegevens en tokens in Azure Key Vault
OAuth 2.0 voor Google-koppelingen (wij slaan nooit Google-wachtwoorden op)
Regelmatige beveiligingsupdates

13. Cookies

Health Cockpit gebruikt alleen strikt noodzakelijke cookies voor authenticatie en sessiebeheer. Wij gebruiken geen tracking cookies, advertentiecookies of analytische cookies.

14. Wijzigingen

Wij kunnen dit privacybeleid bijwerken. Bij belangrijke wijzigingen informeren wij je via e-mail of een melding in het platform. De datum bovenaan geeft aan wanneer dit beleid voor het laatst is bijgewerkt.

2. Our role: controller or processor?

Health Cockpit acts in two roles:

Data Controller for the data of therapists (our customers): account data, billing, communication.
Data Processor for the patient data that therapists enter into the platform. The therapist is the data controller for their patients' data and enters into a Data Processing Agreement with Health Cockpit for this purpose.

3. What data do we process?

3.1 Therapists (platform users)

Name, email address, phone number
Practice details (name, address, company number)
Google account data (when linking calendar, email, or forms)
Billing and payment information

3.2 Patients (entered by therapists)

Name, date of birth, contact details
Health data: complaints, consultation reports, interventions, lab results, DNA analysis
Communication history (emails)
Questionnaire results

Health data constitutes special categories of personal data within the meaning of Article 9 GDPR. Processing is permitted on the basis of the explicit consent of the patient (Art. 9.2.a) and/or the necessity for healthcare purposes (Art. 9.2.h).

4. Why do we process this data?

5. Google API integrations

Health Cockpit offers optional integrations with Google services. You choose which ones to activate. We only request the strictly necessary access permissions:

Health Cockpit's use of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

Google data is used exclusively for the functions described above within Health Cockpit.
Google data is not sold, not forwarded to advertisers, data brokers, or other third parties.
Human access to Google data is limited to what is necessary for technical support (at your request), security investigation, or legal obligations.

You can revoke the Google integration at any time via the settings in Health Cockpit or via your Google Account.

6. Who do we share data with?

We only share personal data with the following parties, exclusively to the extent necessary for the purposes described above:

Microsoft Azure (hosting, data storage, and AI services via Azure OpenAI, West Europe region)
Microsoft Dataverse (database, West Europe region)
Google (only if you activate the integration yourself)
Stripe (payment processing, EU infrastructure)
Anthropic (AI features for customer support)

We never sell personal data to third parties and do not use it for advertising purposes.

7. Transfers outside the EU

All core data is stored within the European Union (Microsoft Azure, West Europe region).

When using the following services, data transfers to the United States may occur:

Google (when the integration is activated) - protected by the EU-US Data Privacy Framework
Anthropic (AI customer support) - based on Standard Contractual Clauses (SCCs)

8. How long do we retain data?

9. Automated decision-making and AI

Health Cockpit uses AI (artificial intelligence) for the following features:

Summaries of consultation reports
Suggestions for interventions based on complaints and lab results
Customer support via the support chat

These AI features are assistive: they generate suggestions that are always reviewed by the therapist before being applied. No automated decision-making takes place within the meaning of Article 22 GDPR that produces legal effects for patients or therapists.

10. Your rights

Under the GDPR (General Data Protection Regulation), you have the following rights:

Access (Art. 15) - request which data we process about you
Rectification (Art. 16) - have incorrect data corrected
Erasure (Art. 17) - have your data deleted ("right to be forgotten")
Restriction (Art. 18) - temporarily halt processing
Portability (Art. 20) - receive your data in a readable format
Objection (Art. 21) - object to processing based on legitimate interest
Withdraw consent (Art. 7.3) - for processing based on consent, at any time and without giving reasons

You can also file a complaint with the Belgian Data Protection Authority (GBA), Drukpersstraat 35, 1000 Brussels.

11. Is providing data mandatory?

Providing your name, email address, and practice details is necessary to create an account and use the platform. Without this data, we cannot deliver the service. Linking Google services is entirely optional.

12. Security

We take appropriate technical and organisational measures to protect your data:

Encrypted connections (HTTPS/TLS)
Access control via Azure Active Directory
Encrypted storage of sensitive data and tokens in Azure Key Vault
OAuth 2.0 for Google integrations (we never store Google passwords)
Regular security updates

13. Cookies

Health Cockpit only uses strictly necessary cookies for authentication and session management. We do not use tracking cookies, advertising cookies, or analytics cookies.

14. Changes

We may update this privacy policy. In case of significant changes, we will inform you by email or a notification in the platform. The date at the top indicates when this policy was last updated.

2. Notre role : responsable du traitement ou sous-traitant ?

Health Cockpit agit dans deux roles :

Responsable du traitement pour les donnees des therapeutes (nos clients) : donnees de compte, facturation, communication.
Sous-traitant pour les donnees des patients que les therapeutes saisissent dans la plateforme. Le therapeute est lui-meme responsable du traitement des donnees de ses patients et conclut a cet effet un accord de sous-traitance avec Health Cockpit.

3. Quelles donnees traitons-nous ?

3.1 Therapeutes (utilisateurs de la plateforme)

Nom, adresse e-mail, numero de telephone
Donnees du cabinet (nom, adresse, numero d'entreprise)
Donnees de compte Google (lors de la liaison de l'agenda, de l'e-mail ou des formulaires)
Donnees de facturation et de paiement

3.2 Patients (saisis par les therapeutes)

Nom, date de naissance, coordonnees
Donnees de sante : plaintes, rapports de consultation, interventions, resultats de laboratoire, analyse ADN
Historique de communication (e-mails)
Resultats de questionnaires

Les donnees de sante constituent des categories particulieres de donnees a caractere personnel au sens de l'article 9 du RGPD. Leur traitement est autorise sur la base du consentement explicite du patient (art. 9.2.a) et/ou de la necessite a des fins de soins de sante (art. 9.2.h).

5. Integrations Google API

Health Cockpit propose des integrations optionnelles avec les services Google. Vous choisissez lesquelles activer. Nous ne demandons que les droits d'acces strictement necessaires :

L'utilisation par Health Cockpit des informations recues via les API Google est conforme a la Google API Services User Data Policy, y compris les exigences d'utilisation limitee. Concretement :

Les donnees Google sont utilisees exclusivement pour les fonctions decrites ci-dessus au sein de Health Cockpit.
Les donnees Google ne sont pas vendues, ni transmises a des annonceurs, courtiers en donnees ou autres tiers.
L'acces humain aux donnees Google est limite a ce qui est necessaire pour le support technique (a votre demande), les enquetes de securite ou les obligations legales.

Vous pouvez revoquer l'integration Google a tout moment via les parametres de Health Cockpit ou via votre compte Google.

6. Avec qui partageons-nous les donnees ?

Nous ne partageons les donnees a caractere personnel qu'avec les parties suivantes, exclusivement dans la mesure necessaire aux finalites decrites ci-dessus :

Microsoft Azure (hebergement, stockage de donnees et services IA via Azure OpenAI, region Europe de l'Ouest)
Microsoft Dataverse (base de donnees, region Europe de l'Ouest)
Google (uniquement si vous activez l'integration vous-meme)
Stripe (traitement des paiements, infrastructure UE)
Anthropic (fonctionnalites IA pour le support client)

Nous ne vendons jamais de donnees a caractere personnel a des tiers et ne les utilisons pas a des fins publicitaires.

7. Transferts hors de l'UE

Toutes les donnees essentielles sont stockees au sein de l'Union europeenne (Microsoft Azure, region Europe de l'Ouest).

Lors de l'utilisation des services suivants, des transferts de donnees vers les Etats-Unis peuvent avoir lieu :

Google (lors de l'activation de l'integration) - protege par le EU-US Data Privacy Framework
Anthropic (support client IA) - sur la base de Clauses contractuelles types (CCT)

8. Combien de temps conservons-nous les donnees ?

9. Prise de decision automatisee et IA

Health Cockpit utilise l'IA (intelligence artificielle) pour les fonctionnalites suivantes :

Syntheses des rapports de consultation
Suggestions d'interventions basees sur les plaintes et les resultats de laboratoire
Support client via le chat d'assistance

Ces fonctionnalites d'IA sont assistives : elles generent des suggestions qui sont toujours evaluees par le therapeute avant d'etre appliquees. Aucune prise de decision automatisee n'a lieu au sens de l'article 22 du RGPD produisant des effets juridiques pour les patients ou les therapeutes.

10. Vos droits

En vertu du RGPD (Reglement general sur la protection des donnees), vous disposez des droits suivants :

Acces (art. 15) - demander quelles donnees nous traitons a votre sujet
Rectification (art. 16) - faire corriger des donnees inexactes
Effacement (art. 17) - faire supprimer vos donnees ("droit a l'oubli")
Limitation (art. 18) - suspendre temporairement le traitement
Portabilite (art. 20) - recevoir vos donnees dans un format lisible
Opposition (art. 21) - s'opposer au traitement fonde sur l'interet legitime
Retrait du consentement (art. 7.3) - pour les traitements fondes sur le consentement, a tout moment et sans justification

Vous pouvez egalement deposer une plainte aupres de l'Autorite de protection des donnees (APD), Drukpersstraat 35, 1000 Bruxelles.

11. La fourniture de donnees est-elle obligatoire ?

La fourniture de votre nom, adresse e-mail et donnees de cabinet est necessaire pour creer un compte et utiliser la plateforme. Sans ces donnees, nous ne pouvons pas fournir le service. La liaison des services Google est entierement optionnelle.

12. Securite

Nous prenons des mesures techniques et organisationnelles appropriees pour proteger vos donnees :

Connexions chiffrees (HTTPS/TLS)
Controle d'acces via Azure Active Directory
Stockage chiffre des donnees sensibles et des jetons dans Azure Key Vault
OAuth 2.0 pour les integrations Google (nous ne stockons jamais les mots de passe Google)
Mises a jour regulieres de securite

13. Cookies

Health Cockpit utilise uniquement des cookies strictement necessaires pour l'authentification et la gestion des sessions. Nous n'utilisons pas de cookies de suivi, de cookies publicitaires ni de cookies analytiques.

14. Modifications

Nous pouvons mettre a jour cette politique de confidentialite. En cas de modifications importantes, nous vous informerons par e-mail ou par une notification dans la plateforme. La date en haut indique quand cette politique a ete mise a jour pour la derniere fois.
